Your information & your choices
Privacy Policy
Last updated: October 28, 2026
Xovion Solutions ("we," "us," or "our") respects your privacy. This policy explains how we handle information when you visit xovionsolutions.com, submit a Facebook or Instagram lead form, contact us, or discuss our services with us. It is adapted from the privacy practices published by Xovion Labs for our client-facing Xovion Solutions services.
We use inquiry information to respond to you and manage relevant follow-up. We do not sell, rent, or trade your personal information. Submitting an inquiry is not a subscription to automated marketing texts.
Information we collect
- Information you provide: your name, email address, phone number when provided, business information, service interests, and messages or answers you submit.
- Meta lead forms: contact details you confirm in a Facebook or Instagram form and your answers to its questions. Meta may prefill these fields from your profile; you can review them before submitting.
- Communication records: inquiries, follow-up messages, relevant notes, and any consent or opt-out preferences you give us.
- Technical information: our website hosting and infrastructure providers may process IP addresses, request times, browser information, and security or operational logs when you visit the site. Third-party services, such as fonts loaded by the website, may also receive technical request information.
Our website consultation prototype
The current website consultation walkthrough is a prototype. Its answers remain in the current browser session and are not submitted to our server or CRM by that walkthrough. Copying a summary does not send it to us. This differs from submitting a Meta lead form or contacting us directly, which does provide information to us.
How we use information
- Respond to your inquiry, discuss your needs, and arrange a conversation if requested.
- Evaluate and deliver relevant AI systems, automation, software, website, and related business services.
- Organize inquiries and follow-up in our customer relationship management system (CRM).
- Maintain appropriate business records, protect our systems, and meet applicable legal obligations.
- Send optional marketing communications only with any permission required for that channel. You can ask us to stop marketing follow-up.
Facebook and Instagram lead forms
When you submit a Xovion Solutions lead form on Facebook or Instagram, Meta provides your submitted information to us. Our integration can transfer new submissions to our Xovion Solutions subaccount in GoHighLevel (LeadConnector), where we manage the inquiry and follow-up. We use that information for the purposes described in the form and this policy.
Meta also handles information under its own Privacy Policy. Please do not include passwords, payment-card details, government identification numbers, health information, or other sensitive information in free-text answers.
Service providers and other sharing
We use providers to host the website, manage inquiries, and support communications. These include Cloudflare for website hosting and infrastructure, Meta for Facebook and Instagram forms, and GoHighLevel/LeadConnector for CRM services. They process information needed to provide their services, subject to their applicable terms and privacy policies.
We may also disclose information when required by law, to protect rights or safety, or as part of a business transfer with appropriate privacy protections. We do not share your phone number or SMS consent with third parties or affiliates for their own marketing.
Email, calls, and text messages
We may contact you using the details you provide to respond to your request. Providing a phone number in a lead form alone does not enroll you in automated promotional texts. If we offer an SMS program, we will request the consent required for that program separately. Where applicable, you can reply STOP to opt out of texts or HELP for assistance; message and data rates may apply. Use an unsubscribe link in a marketing email or contact us to stop marketing emails.
Retention and security
We keep information for as long as reasonably needed to respond to inquiries, provide services, maintain business records, and meet legal requirements. Retention depends on the information and our relationship with you. We use safeguards appropriate to our systems, including HTTPS and access controls, but no internet service can guarantee absolute security.
Your choices and requests
You can ask to access, correct, or delete personal information we hold, or ask us to stop marketing follow-up, by emailing hello@xovionsolutions.com. We may need to verify your request and may retain records where necessary for legal, security, or legitimate business purposes. Additional rights may apply depending on where you live.
Cookies and third-party links
Our current consultation prototype does not submit answers to a server. Hosting providers and third-party services may process technical information as described above. You can manage cookies through your browser. Links to external websites, including Meta and Xovion Labs, are governed by those sites' own privacy policies.
Children's privacy
Our services and lead forms are intended for business owners and adults. We do not knowingly collect information from children under 13. Contact us if you believe a child has provided personal information so we can address it.
Updates to this policy
We may update this policy as our services or practices change. The date above identifies the latest revision. We will provide additional notice where required.
